Hello,
Thank you for your interest in becoming a bookkeeper at Spark Business Consulting. We understand the market is competitive and wanted to provide you with further insight into what this role entails.
As a bookkeeper, your day-to-day consists of five main tasks:
• Reconcile and review financials for approximately 20 small businesses on your roster each month within your goal time.
• Provide full-service accounts payable services to our Success Level Clients by organizing and paying bills weekly, filing sales tax monthly, and managing their cash flow.
• Deliver world-class service by receiving 5-Star Reviews from each of your clients each quarter on your roster.
• Take ownership of your work and utilize training feedback to develop your skills as measured by your Lead Accountant.
• Respond to teammates within 60 minutes and to clients within 24 hours or less (Communication is what makes us SPARKLE in everything).
It's our goal to make our clients’ lives easier by providing clear solutions and actionable insights, empowering them to build a thriving, profitable business. We are passionate about helping businesses achieve financial clarity and supporting their long-term success by handling their finances and marketing so they can concentrate on growing their business and achieving big-picture goals.
Your #1 responsibility every day is to reconcile and review the financials for the clients on your roster, so everything is complete for each client by the end of the month.
This may sound easy, but it involves lots of organization, planning, and effective time management.
Spark Business Consulting uses the Profit First System, a proven cash management strategy that flips the traditional accounting model, ensuring that profit is a priority rather than an afterthought. We are one of only 50 Profit First Mastery-Certified firms in the United States (which is a big reason why our clients LOVE us!) and are in the top 1% of U.S. bookkeeping firms.
We have five Core Values that help our ROCK STAR team members separate us from the competition:
• Authentic Enthusiasm
We always bring brilliant enthusiasm and authenticity.
• Empathy
We care with grace and empathy.
• Kindness
We practice joyful kindness.
• Integrity
We are honest and integral to our core.
• Growth
We perpetually grow, both personally and professionally.
Please understand, we are not looking for someone who is disorganized and prefers to fade into the background.
WE ARE LOOKING FOR INDIVIDUALS WHO PLAN AHEAD, PAY ATTENTION TO THE DETAILS, AND LOVE ACCOUNTABILITY.
As a bookkeeper, your position will be full-time and in-person.
Our 3-5 months of training is great! You will learn everything you need to know about being a bookkeeper at Spark to be successful. The training starts with “Bree’s Bootcamp,” as we affectionately call it. This will involve going over the basics, from gaining access to your email, OneDrive folders, and QuickBooks Online. This process can take one or two weeks, depending on your prior experience and confidence level. You’re in good hands with Bree – she is patient, calm, and thorough and will set you up for success whether you’re a beginner or a pro.
While you will be able to use QuickBooks Online efficiently within your first two weeks, Bree will continue to check your work to ensure it meets Spark’s expectations and standards for a few months after that.
After your training period, the expectation is that you will have full ownership of the clients assigned to you. As a new team member at Spark, all your clients will be established clients pulled from other rosters so you can have adequate support from the team while you get acclimated to your role. It may take some time to feel like you understand all the complexities and nuances involved with the job, but as long as you are driven and determined, you will get there.
A typical day at Spark involves a balance of being organized, able to adapt, and proactive about communication. When you start your day, you will review the list of clients assigned to you and think through what you’ve done so far (if anything) and what you still need to do. Some clients require more attention and time than others with different needs at different times of the month. You will need to plan your days, weeks, and months according to what each client needs and when they need it.
However, no matter how meticulously planned the day is, unexpected emails or urgent client issues may throw a wrench in your schedule.
A KEY PART OF THIS ROLE IS PIVOTING AND ADJUSTING PRIORITIES AS NEEDED.
For example, an urgent payroll change or a client question might demand immediate attention, pushing planned tasks aside. Despite this, the foundation of the day remains consistent with a focus on routine tasks (e.g., recording transactions, deposits, expenses, etc.), with each client having unique complexities.
Over time, the process becomes smoother as you gain a deeper understanding of clients’ needs and develop efficient ways to address those needs. Communication with clients is frequent – emails and calls are a regular part of the job. You will need to find a balance between taking these calls and saving enough time to complete your work.
While much of the day is spent independently, your teammates are available if you need them. If you come across an unfamiliar transaction and you’re still struggling after taking the time to research it yourself, the team is a message away. There are also regular meetings such as the Daily Huddle and a weekly team meeting where you and your colleagues can collaborate, ask questions, and share advice. The team is always there to step in and offer guidance when needed. Success in this role is defined by efficiency, accuracy, and the ability to meet deadlines while continuously learning and adapting.
At the end of each day, you will wrap up by reviewing your progress, clearing up your emails, and planning for the next day. Being able to tie up loose ends and set yourself up for success for the following day is crucial.
THIS ROLE IS REWARDING FOR SOMEONE WHO THRIVES ON CHALLENGE, PROBLEM-SOLVING, AND A DEEP SENSE OF OWNERSHIP OVER THEIR WORK.
Everyone makes mistakes, and it is expected, which is why there are a lot of policies and procedures in place to help ensure quality. The key is to take each mistake as a learning opportunity to help you improve your overall performance.
We hope this letter has helped to explain what your day-to-day would look like as a bookkeeper.
While there is much more that was not touched upon, we wanted to give you a general idea of what to expect.
If this sounds interesting because you are adaptable, self-driven, and enjoy solving problems, then you more than likely have what it takes to be a ROCK STAR bookkeeper, and we would love to add you to our team!
