How to Hire a 5-Star Employee

Finding a 5-star employee is no small feat. A streamlined, thoughtful hiring process can make all the difference. At Spark Business Consulting, we’ve crafted a meticulous 10-step gauntlet to ensure we bring aboard only the best. While we thought we had a good hiring system when we first started out, it wasn’t until we hired The All In Company that we really fine tuned our system and have had amazing results!

The Ten Steps

1. Prevue Assessment:

  • Start with a solid foundation. Have every applicant complete a Prevue Assessment, or some kind of skills/culture/values matching assessment, which offers insights into their behavioral traits and aptitudes.

2. Resume & Application Review:

  • Peruse all submissions carefully. Identify top contenders based on their experiences and the potential they present on paper.
  • Send these potential star players skills tests to further evaluate their capabilities.

3. Video Introduction or Screening Call:

  • Request a brief video from applicants. This should touch upon their personality, relevant skills, and reasons they’re ideal for the role.
  • Alternatively, consider a 15-minute screening call to gauge their potential fit.
  • Remember: The gauntlet is rigorous. Proceed with only those who shine in the initial stages.

4. First Interview:

  • Dive deeper into their profile.
  • Engage them with a “Universal Qualities” interview to ascertain foundational traits and qualities.

5. Second Interview:

  • Further evaluation is key.
  • The “Aptitudes Interview” should be the primary focus here, assessing specific aptitudes and skills relevant to the role.

6. A Day in the Spark Life:

  • Invite candidates for a 3-hour paid “shadow” shift.
  • Allow them to observe and immerse themselves in the team dynamics and daily operations.

7. Thorough Background Checks:

  • Conduct both reference and credit checks to ensure transparency and reliability.

8. Extend an Offer:

  • Found your 5-star candidate? Send them an official offer letter! Don’t know where to start with one? Stay tuned for a future Blog where we dive in to the nitty gritty of creating a valuable employee file.

9. Gear Up for Day One:

  • Pre-arrival Prep: Email the “All About Me” form a week in advance.
  • Tech & Tools Setup: Organize their desk/laptop, email, QuickBooks invite, OneDrive access, and ClickUp addition.
  • Timesheet Configuration: Register the new employee in Spark Books, setting up income & COGS, and Purchase & Sales specifics.
  • New Hire Documentation:
    • ‘The Best of Me’ form
    • Payroll setup
    • Employee Handbook
    • Photocopies of vital identification (Passport, Driver’s License, SS Card)

10. Day One: A Grand Welcome:

  • First impressions last. Make their entry festive without overwhelming them.
  • Introductions: Familiarize them with the team.
  • Mentor Assignment: Offer them a point of contact other than the primary leadership to ensure comfort and guidance.
  • Ease them in: Allow them to settle, understand their new environment, and slowly acclimatize to their tasks.

Hiring doesn’t have to be a gamble. With this 10-step gauntlet, Spark Business Consulting ensures that we’re not just filling a position, but are bringing onboard a valuable asset who aligns perfectly with our vision and ethos. Implement this in your business and watch the 5-star candidates shine through!
